VIPER/VIEST Administrative Coordinator

 

Job Description

This position is responsible for coordinating operations for the Vagelos Integrated Program in Energy Research (VIPER), and the Vagelos Institute for Energy Science and Technology (VIEST) at the University of Pennsylvania, both managed out of the Department of Chemistry. VIPER is a coordinated dual-degree undergraduate program between the School of Arts and Sciences and School of Engineering and Applied Science designed to give undergraduate students an interdisciplinary education and opportunities to conduct energy research, to prepare them to make an impact in the energy sector. VIEST has a mission to facilitate cross-disciplinary collaborations among faculty in the School of Arts and Sciences and School of Engineering and Applied Science, train graduate students and postdoctoral fellows to become the next generation of energy leaders, and help Penn faculty secure new, energy-focused large collaborative research grants. This position manages all events for VIPER and VIEST including meetings, seminars, and community events, which may take place outside regular work hours. This position is also responsible for student and postdoctoral programs, handles administrative operations, and supports budgetary processes and communication strategies with a variety of stakeholders. This individual must demonstrate a strong work ethic and ability to creatively translate the missions of VIPER and VIEST into administrative duties and processes.

 

The position is 50% with VIPER and 50% with VIEST, including support of joint programming between the two organizations, and is supervised jointly by the VIPER and VIEST Managing Directors.

 

Qualifications

 

Required:

  • H.S. degree with 5- 7 years of experience with administrative duties, or equivalent combination of education and experience

  • Ability to work with minimal supervision while efficiently handling multiple priorities

  • Excellent communication skills 

  • Exceptional organization skills

  • Excellent teamwork capabilities

  • Proven ability to handle confidential information with a high degree of tact, discretion and diplomacy

  • Proficient in Microsoft Office suite (required: Word, Powerpoint and Excel)

 

Preferred:

  • Bachelor’s Degree

  • Ability to understand and communicate scientific information

  • Experience with Penn travel, purchasing, budget, and administrative policies

  • Experience managing social media accounts (Instagram, Facebook, and/or Twitter)

  • Experience with graphic design such as Adobe inDesign or Adobe Illustrator 

  • Experience with team project management tools such as Trello
